I do that every time my wife has a problem on the phone or tablet. "Try this button then wait then this button." It works all the time.

I'm not good at security stuff but: I use Mullvad since it seems to be the most ethical VPN provider. All the others have advertisements everywhere.

As for emails, I would go with Tuta or Runbox but I'm using Fastmail for the moment and I don't have time to switch. I would go with Runbox for reasons I can't explain. Both are like 3 euros per month and have aliases and personal domain support. Anyway, the best is at least to have a paid account to make sure there is some kind of security for the future of the company.
